  • Google Keep Tip – Getting Things Done (GTD) Workflow Lists Via Colors

    For the last couple of years I have had my personal* implementation of David Allen Getting Things Done (GTD) deployed in Google Keep.  

    Google continues making very useful updates to Google Keep: Self Organizing Notes (via Tech Times), Diagrams (via The Verge), and Improved Labels (via Google). These have made doing GTD (Wikipedia) in Google Keep even easier.

    Here is how I am doing the major GTD Workflow Lists using the Color feature in Google Keep (great support site) for items:

    It would be great if you could rename the colors but that currently isn't a current feature.  So I created above categorization, and through the course of using them this way I've been able to remember them by color and position.  I also printed and laminated the above graphic, and have it positioned easy to read in my desk area.

    The Google Keep search function lets you search by color (just two clicks on my Chromebook, tap-slide-tap on Android) so I can see all my Next Actions by searching on RED.  Or all my Projects by searching on BLUE. 

    These are all pretty standard workflow list categories.  The one that I've added that might not be familiar to you is Dashboard (YELLOW).  This concept also came David Allen from a conversation that he had on a podcast when he was writing his Making It All Work book that came after the Getting Things Done book.

    In that podcast, David described a MindMap he was using called his Dashboard that was anchoring him to his big ticket items for any given moment.  Since things were moving very fast for him at the time it was a great way to stay focus and prioritize his attention.  I've used this concept at work for years with my work* MindMap/Outlook system, and just moved it to Google Keep isn't it really isn't MindMap specific.

    So I check my Dashboard regularly.  These change day-to-day and sometimes by the hour. The top part of the YELLOW search are notes that I want to see on a very regular basis and the items that are archived are actually my Dashboard references:

    *Yes, I have two separate systems which is not recommended by David Allen but works for me.  One is for work using only work resources (computers, software, etc.). And one for home/personal that uses my own personal resources.  When I need to bridge them I usually use email.

    Just getting started with this project.  Not sure if what BETA or v1.0 will look like but looking for help via: @chvrchespodcast (Twitter).

    This is definitely an ALPHA level project at this point.

    I am looking for thoughts on:

    • Frequency
    • Types of content
    • Format (live or more NPR style)
    • Single Host, Multiple Host, or what?
    • Reporters for segments (Reviews, what is hot on social, upcoming concerts, ticket sales, Q&A)
    • Music (need to figure out rights and fair use guidelines)
    • Etc …

  • You Can’t Design For Air Gapped And Manage Irresponsibly

    SANS NewsBites Vol. 18 Num. 045 has a newsblurb and commentary on "Air Gapping SCADA Systems Will Not Work" published on (June 3, 2016) by the TheRegister.UK with quotes from Supervisory Control and Data Acquisition (SCADA) technology pioneer Faizel Lakhani.

    The article focused the criticism for not using air gapped system because many of the current examples of air gapped networks have vulnerabilities that get added over time by employees who introduce technologies that wouldn't be allowed if the system was managed properly. 

    Building a successful and effective air gapped system requires a dedicated culture of security engineering that is hard work.  Not doing that work will more than likely introduce threat vectors that a dedicated adversary will exploit. 

     And in other air gap news recently:

    • Software-Defined Perimeter (SDP) outlined at Network World
    • The government of Singapore is considering disconnecting some systems from the Internet [straitstimes, channelnewsasia, thestack, themiddleground.sg]
    • Deploying an air gap is a solution to consider for some vulnerability problems according to Info Security Magazine.

  • Where Is Your Power Strategy?

    Per FreeBeacon.com and TheHill.com there is news that the FBI has warned power companies about additional cyber threats to the United States critical infrastructure (i.e. the grid).  

    This warning drives home the continued need to not only protect your air gapped network from digital threats, but also to make sure you completely understand and protect your power needs required by your air gapped network:

    • Your Grid
    • Your Generator
    • Your Backup Battery

    You more than likely aren't able to completely power gap your air gapped system from the grid, but you do need to consider how to isolate as much as possible your generator(s) and your backup battery(s).  These capabilities will more than likely have industrial control systems (i.e. Internet of Things) that need to be protected from external threats.
